How to appoint a new internal supervisor?
  • You may apply for Change Supervisor by:
    • Login to ipps
    • Click Candidature Matters  –> Thesis –> Change Supervisor
    • Choose the new internal supervisor’s name
    • State the role of the new internal supervisor (You may need to see the Change Role of Supervisors section).
    • State the justification for adding new supervisor.
    • Submit the application.
  • The application has to be
    • recommended the main supervisor/ supervisor/ chairman of the supervisory committee
    • recommended by the faculty.
    • approved by the JKPSU
  • The application has to be made within ten (10) weeks of the current semester.
  • Refer to Section 10.3, Regulations of USIM (Graduate Studies) 2007 (Amendment 2015) for more info.
How to appoint a new external supervisor?
  • You may apply for Change Supervisor by:
    • Login to ipps
    • Click Candidature Matters  –> Thesis –> Change Supervisor
    • Choose the new external supervisor’s name
    • Note: If the external has not being listed, please contact info@ipps.usim.edu.my. The external supervisor’s CV has to be provided to the faculty and PPS.
    • State the role of the new external supervisor (You may need to see the Change Role of Supervisors section).
    • State the justification for adding new supervisor.
    • Submit the application.

How to Change the Role of supervisors?
  • If a new supervisor is added or removed, you are also required to change the supervisors’ roles. The table of the supervisors’ roles are as follow:

How to drop my supervisor/ co-supervisor/ chairman/ committee member?
You may apply for Change Supervisor by:

  • Login to ipps

    • Choose to drop the relevant person.
    • State the justification for dropping the supervisor.
    • Submit the application.
    • Note: You may need to see the Change Role of Supervisors section.

    • recommended by the faculty.

  • The menu in iPPS only contains several functions. Why does that happen and how to solve this? Reasons why the iPPS menu only display several functions could be both or either any of this:

How to defer my study?
  • You may apply for Deferment of Study by:
    • Login to ipps
    • Click Candidature Matters  –> Deferment of Study
    • State the deferment reason.
    • Upload the written approval letter by the sponsor (only for sponsored student).
    • Submit the application.
  • The application has to be
    • recommended the main supervisor/ supervisor/ chairman of the supervisory committee
    • recommended by the library
    • recommended by the faculty.
    • approved by the JKPSU
  • The application has to be made within ten (10) weeks of the current semester.
  • Deferment of study may be allowed for a period of not more than two (2) semesters. However, the application has to be submitted for each semester.

Will the deferred number of semesters be counted into the period of study?
  • Yes, the number of semesters deferred will be taken into the calculation of the semester for the period of study except for the following reasons:
    • due to prolonged illness which has been certified by a government medical officer or certified medical practitioner.
    • Due to pregnancy for a period of 6 months or more at the commencement date of the semester which has been certified by a government medical officer or certified medical practitioner.
What are the consequences for deferring a semester?
  • The visa for the International student who has been granted for the deferment will be cancelled.
  • Student with deferment of study status shall not be considered as a student of USIM and shall not be allowed to use USIM’s facilities.

How do I change my programme?
  • You may apply for Change of Programme by:
    • Login to ipps
    • Click Candidature Matters  –> Change of Programme
    • Choose the course
    • Upload sponsorship letter.
    • Submit the application.  
  • The application has to be made within four (4) weeks of the current semester.
  • The application has to be recommended by both of the faculties in charge of the current programme and new programme subject to JKPSU approval.

I am a Master by research student. I would like to convert my Master to a PhD Level. How do I do that?
  • You may apply for Conversion to PHD Program by:
    • Login to ipps
    • Click Candidature Matters  –> Conversion to PHD Program
    • Submit the application.
  • The application has to be:
    • recommended by the main supervisor/ supervisor/ chairman of the supervisory committee
    • recommended by the faculty ( To obtain faculty’s recommendation, student has to apply for QTC which will be handled by the faculty and pass the QTC session. )
    • approved by the university

I am a part time student. What do I have to do to become a full time student?
  • You may apply for Change Type of Registration by:

This is my last semester, but I need more time to complete my thesis. How to apply for extension?
  • You may apply for Extension beyond Maximum Study Period by:
    • Login to ipps
    • Click Candidature Matters  –> Duration of Study –> Extension Beyond Maximum Study Period
    • State the reason why you have to extend especially the progress of your study/thesis.
    • Upload the written approval letter by the sponsor (only for sponsored student).
    • Submit the application.
  • The application has to be
    • recommended the main supervisor/ supervisor/ chairman of the supervisory committee
    • recommended by the faculty
    • endorsed by the JKPSU and Senate
  • The application has to be made within four (4) weeks of the maximum semester.
  • Maximum period of extension is 1 semester for Master’s student and two (2) semesters for PhD student but each application will be approved only for one semester.

I have completed my studies before reaching the minimum period of study. How to apply for early graduation?
  • You may apply for Exemption From Minimum Study Period by:

How to Add / Drop Courses
  • You may apply for Add/Drop Courses by:
    • Login to iPPS
    • Click Admission & Registration –> Add/Drop Course
    • Click Add or Drop relevant course
  • The application is subject to the minimum and maximum credit allowed for a student.
  • For two-semester system, and
  • for a full time student, the minimum credit is 12 and the maximum credit is 15.
  • for a part time student, the minimum credit is 3 and the maximum credit is 9.
  • Student has to add course within four (4) weeks of the semester.
  • Student may drop course within ten (10) weeks of the semester.

How do I get exempted from Research Methodology/ Data Analysis subject?
  • You may apply for Course Exemption by:
    • Login to iPPS
    • Click Candidature Matters  –> Course Exemption
    • Tick relevant course
    • Upload academic transcript and course outline of the relevant course.
    • Submit the application.
  • The application is subject to PPS approval.
  • Refer to Section 7.1, Regulations of USIM (Graduate Studies) 2007 (Amendment 2015) for more info.
Why my application for course exemption is rejected?
  • These are some of the reasons why the application could be rejected:
    • The course is not equivalent to the corresponding course in the current programme of study offered at the Faculty or PPS.
    • You did not obtain a minimum grade of B for the course.
    • The course was taken in more than five (5) years.
    • The maximum number of credits applied for the exemption has exceeded 30% of the total credits in the programme.
    • The course was taken during undergraduate level.
    • You did not provide either a clear and verified document of transcript or course outline.
    • The application is subject to PPS approval.

How to apply for admission
  • Application for admission can be made through online application URL: https://ipps.usim.edu.my.
  • The admission for postgraduate’s programme via Mixed Mode & Advanced Diploma are offered on Sept intake only.
  • For research and coursework mode programme, application for admission is open throughout the year.
How long does it takes for my application to be processed and how to get results of my application?
  • Normally the application takes not more than 2 months because your application will be endorsed by the Faculty and Committee of Postgraduate Meeting which is held in every two months.
  • Kindly login to https://ipps.usim.edu.my regularly to check your application status.
How to pay the processing fee for my application?
  • Processing fee (Local MYR 60.00 and International MYR 90.00) can be made through online payment (Visa & Master Card)at https://ipps.usim.edu.my or by cash at USIM Nilai Campus, Bursar counter level 2 Chancellery Building.
Can I defer my registration?
  • It is possible to defer your registration not more than 1 semester.
  • If you do not register after 1 semester of deferment, the offer letter is considered void and null and you are required to re-apply if you are still interested to further studies
I have problems in filling up the application. What should I do?
  • Kindly email to the person in charge (Admission Unit) at   mohdilham@usim.edu.my through email (state your reference no and your complaint) or by phone calls at 06-7978639 / 8644. CGS will assist you from time to time
Is it necessary to have English and Arabic Language requirements for admission?
  • English Language is the requirements for admission. You are required to show evidence of English Certificates (MUET, Band 3 and above, IELTS Band 5.0 and above, TOEFL PBT at least 510, CBT at least 180 and IBT at least 64).
  • Arabic Language is the requirements for a part of graduation. If you do not have background in the Arabic Language, you can sit for UBA8012 and 8022 courses (Arabic Communication I & II)
Who can be my Guarantor & Academic Referees?
  • You need to upload your Guarantor & Academic Referees form in the system.
  • Your guarantor shall be your family members (Mother/Father/Husband/Wife/Brother/Sister etc).
  • For financial evidence; you are required to upload the statement of bank account of your guarantor, who shall have minimum amount of MYR 21,000 (International Candidates).
  • Academic referees form must be filled by the academician who have past relation with your studies
I am applying for research mode of study. How to write my research proposal?
  • The research proposal should contain between 1,000-1,500 words for Master and 1,500-2,000 words for PhD or approximately four (4) pages.
  • It must contain Field of Research, Topic of Research Proposal, Background of study  or a brief literature review on the research topic, Objective of Study; Methodology of study
I am a working adult. What time usually the classes start for (Coursework, Mixed Mode, & Advanced Diploma)?
  • The classes start usually after working hours, between 5 pm – 9 pm. It depends on the faculty or lecturer to decide the schedule.
What are Letter of Notification Offer and Offered Subject to VDR?
  • If you are an International student, you are likely to get this type of offer because it is compulsory for international Student to get Visa Approval from the Immigration of Malaysia before CGS can grant you with Letter of Offer.
How to apply for VDR (Visa with Reference)?
  • The Centre for graduate study requires complete documents and processing fee to apply for your VDR. The estimated time to receive your VDR approval Letter is within 2 months.
Can I suggest my preferred supervisors?
  • The faculty will choose your supervisors based on your research proposal and field of your study within the university. You may change the supervisor after your enrolment.
How many times student is allowed a conversion of candidature from full-time to part-time and vice-versa?
  • The Conversion of status is allowed only once during the candidature period.
